This is a managerial position responsible for overseeing departmental business operations, including assistance with overall management and control of departmental budgets, management of daily business operations and oversight of financial planning. Serves as a member of the athletics department senior leadership team. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment. Reports to the Director of Athletics.
1. Oversees and assists in developing departmental budgets. 2. Monitors budgetary compliance and collaborates with university budget office to maintain budgetary and fiscal integrity and accountability. 3. Participates in special planning studies related to income projections. 4. Compiles budget estimate information for athletics program operations. 5. Provides monthly forecasts and budget documents to respective account managers and the director to ensure adherence to fiscal year budgets. 6. Assists coaches and administrative staff with business operations pertaining to their program. 7. Aids in negotiation of departmental contracts, including transportation, apparel, game guarantees, multimedia rights, and facility agreements as instructed by the director. 8. Works closely with appropriate university departments to ensure developed contracts meet state, university, National Collegiate Athletic Association (NCAA) and/or conference rules, regulations, and requirements. 9. Develops and implements departmental policies and procedures that enhance operations and ensure financial responsibility. 10. Oversees and assists programs with planning and coordination of team travel arrangements, including transportation, lodging, and meals for regular and postseason events. 11. Serves as primary contact to department’s outfitter for ordering and designing future exclusive apparel offerings. Manages and determines use of product allowance to best maximize benefit to the department. 12. Interacts with internal and external auditors and other university departments with fiscal management authority. 13. Researches and develops dashboard reports for different levels of end users. 14. Determines appropriate metrics and design layout. Coordinates distribution and/or presentation of data. 15. Presents on departmental budget topics to campus constituents as requested. 16. Ensures coaches and administrative staff remain knowledgeable of current departmental and university policies and procedures related to the area of responsibility, including collection and handling of payments. 17. Oversees and assists with business operations of the department’s student health insurance program. 18. Supervises and trains assigned staff. 19. Submits departmental revenue and expense data for annual EADA report and all NCAA financial reports. 20. Serves as primary contact for annual NCAA audit and provides all requested documentation for auditors. 21. Serves as sports administrator for designated sports programs as assigned by the director.
Non-Essential Functions: 1. Compiles budget estimates for special projects. 2. Adheres to all applicable NCAA, conference, and university rules and regulations. 3. Attends university, conference, NCAA, and other organizational meetings, as assigned. 4. Participates on university, conference, NCAA, and other organizational committees, as assigned. 5. May receive and/or supervise the receipt of payments from students and others for departmentally sponsored activities. 6. Assists in implementation of departmental strategic vision. 7. Performs other related duties as assigned.
