This position reports to the Assistant Athletic Director for Events and Operations and is responsible for the operation and supervision of game day event management and customer service. The Assistant Director provides additional support with event and facility projects. Manages budgets for certain game day operations and facility enhancement projects. The Assistant Director will lead and maintain an organizational culture that emphasizes our core values and fosters an inclusive, collaborative, innovative, and nimble environment.
Game Day Operations:
Direct game day operations for soccer, women’s basketball, softball, and other events as assigned. This includes coordinating overall day of game operations, securing and coordinating event and facility support staff, managing communications with the Pac-12 Conference and other stakeholders, ordering supplies and rental equipment, directing meetings, and preparing budgets. Implement strategic customer service initiatives to enhance the game day experience.
Responsible for NCAA Championship Events in these sports when hosted at the University of Washington. Serve as the tournament manager overseeing the overall operation of the event including budget, NCAA coordination, securing hotels, catering, etc. Following the event, provide budget materials to the NCAA including profit and expenses.
Supervise the Football game day Customer Service Team, First Aid Team, Guest Services and other game day operations that support the fan experience.
Responsible for the game day operations budgets for various sports of approximately $230,000. Responsible for financial decision making, allocating resources, and maintaining detailed records of financial transactions. Process invoices and purchase orders.
Responsible for recruiting, hiring, training, scheduling, supervising, and HR business processes for the Customer Service Team of approximately 150 part-time employees.
Office Operations and Facility Management:
Oversee scheduling and athletic rentals within ICA facilities, which includes management of rental requests, contract execution, and billing. Manage summer camp rentals in all facilities.
Hold the Workday security role of HR Partner for the ICA Customer Service Team, First Aid staff, and football Guest Services team.
Manage and coordinate assigned projects related to event operations and facility operations.
Perform other related duties as assigned.
Compliance with the rules and regulations of the University, the NCAA, the Pac-12 Conference, the State of Washington and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
Bachelor’s Degree required. Two to three years of full-time experience and proven success in event management, facility management or special event sales. Ability to manage many tasks at once, delegating duties when necessary. Work independently or with a committee and have strong organizational skills is required. Position will require the candidate to work a flexible schedule, including nights, weekends, and holidays.
Master’s Degree preferred; candidates should have the ability to apply good judgment, discretion and initiative and prioritize assignments with conflicting deadlines in performing duties; the successful candidate will have excellent organizational, interpersonal, written and oral communication skills. Ability to develop and deliver training or assessment programs. Proficient in Microsoft Office, Adobe InDesign, and Photoshop. Experience with budget, payroll, and purchasing software systems.
Typical Schedule: 8:00am – 5:00pm, Monday – Friday. Must be able to work weekends and holidays.
