Provide administrative and logistics coordination support to the Women’s and Men’s Tennis programs.
Significant responsibility in (but not limited to) these areas: coordinate the day-to-day operations for the Women’s and Men’s Tennis program. Manage team schedule and ensure robust communication with stakeholders to ensure smooth operations. Collaborate with events and facilities to coordinate scheduling day-to-day practices, visiting team practice schedules, and event set-up, logistics and operations on match days. Hire, evaluate and supervise student managers and racket stringer. Order, store, distribute and maintain inventory of all team apparel, equipment, name plates and student-athlete awards. Contribute in several administrative and operational areas of the program including but not limited to: oversee all aspects of team travel to include charter flight coordination and ground transportation, coordinating hotel meals, meeting rooms, guest rooms. Provide oversight of ordering team meals. Assist with the planning and coordinating of official and unofficial visits to campus by prospective student-athletes. Assist with incoming student-athlete onboarding. Review all memberships. Assist coaching staff with timely production and submission of required documents. Propose and provide fiscal management of operating budget. Process expense reports and create POs/submit invoices for payment. Coordinate preparation of Tennis camp operations, to include camp budget preparations, expenses, and projections, scheduling, logistics, housing, transportation, apparel, equipment, and securing camp facilities. Maintain camp website, prepare all correspondence related to camp publications and maintain correspondence with attendees. Hire, and supervise camp coaches and counselors. Recruit, enroll camp participants and collect payments. Complete and submit camp documentation by established deadlines. Develop collaborative relationships with Texas Athletics and University departments to refer and provide resources to provide guidance and direction to student-athletes, as appropriate. Liaison with T-Association, the Longhorn Foundation, External Affairs, Student Services and related areas. Liaison with compliance officer to ensure compliance with all Big XII and NCAA rules and regulations. Responsible for racket stringing for the Women’s and Men’s programs. Serve as liaison for BACSS (TTC door schedules and facility access). Assists the Head Coach for Women’s Tennis and Head Coach for Men’s Tennis, as assigned. Drive a UT or rental vehicle on and off campus. Actively participate in assigned education and training programs. Comply with all laws, policies, rules and regulations set forth by the Board of Regents of The University of Texas System, The University of Texas at Austin, NCAA, Big 12, or other governing body, including state and federal laws. Annually obtain prior written approval and report all outside activities and outside income. Report knowledge of, or reasonable cause to believe, violation(s) of state or federal laws, policies, rules, or regulations of the University, Big 12 Conference, or NCAA to IA ARMCS or IA HR. Fully cooperate with any investigation by providing complete and accurate information when requested to do so by Texas Athletics and/or the NCAA and do not influence others in any way during an investigation. Experience as a staff member in an NCAA Division I Intercollegiate Athletics Tennis program. Experience as a student athlete in collegiate athletics.
