Overall Responsibility: The Campbell County, Wyoming, Convention & Visitors Bureau (CCCVB) is seeking an enthusiastic and energetic service-oriented event sales and services professional to help grow Campbell County’s overnight tourism business. The successful Sales and Event Coordinator is a motivated self-starter, responsible for generating leads through direct sales efforts. This position also requires experience in planning and coordinating/producing events, and the ability to work with local partners and stakeholders on a variety of current, planned and future events.
S/he will report to the Executive Director, CCCVB, and will work together to identify strategies to attract overnight business related to the group, sports, convention and events markets, to achieve annual lead, booking, room night and economic impact goals. This position will also be the CCCVB liaison to the Campbell County STAT (Sports Tourism Advisory Team).
Duties and Responsibilities:
Establish and maintain positive relationships with local hotel and venue partners, community leaders, sports tourism partners, and local organizations and associations in selling the assets of Campbell County and to achieve a state of collaboration throughout the County.
Work successfully and energetically on the phone, in groups, and through in-person client meetings.
Develop, maintain and strengthen relationships with all lodging partners, facility managers including Gillette College, City and County assets and private venue partners.
Schedule and coordinate projects; prioritize the workload to achieve optimal results for multiple tasks and events occurring simultaneously; adapt to changing priorities.
Increase the inventory of locally created events that will deliver increased overnight stays in Campbell County, and increase the number of attendees from outside Campbell County.
Prepare and present comprehensive Hotel Request For Proposals (RFP’s) and Event Bid proposals to organizations for various potential events.
Generate leads for hotels by following up on potential business provided through inquiry, trade shows, trade publications, familiarization (FAM) trips, sales calls, etc.
Organize, plan and participate in event planner/rights holder site visits and FAM tours.
Conduct site inspections of venues with planners who represent definite potential for business.
Evaluate and report out to all stakeholders on all events.
Plan and attend industry tradeshows, sales blitzes and events with travel partners as agreed upon with Executive Director.
Provide assistance to local venue teams and event leaders to coordinate details of meetings and events, such as housing coordination, event layout, menu planning, event set-up, pre-registration, registration and check-in and event operations and tracking.
Develop and maintain a Sports Visitor Guide specific to visiting team managers and the high school/college markets that can also be used as a marketing tool.
Maintain a sport and other events calendar and be present as much as possible at these events when not already working the event, to represent the CCCVB.
Assist Executive Director with identifying trends in assigned market(s) and generate supporting website and social media content.
Stay up-to-date on industry best practices, standards and benchmarks by reading publications and attending continuing education classes.
Assist in developing local corporate sponsorships and fundraising opportunities for various events.
Cultivate a core volunteer group to assist at sports and special events. Maintain contact list and where appropriate, train, schedule and manage event volunteers.
Work closely with the Executive Director to ensure proper media and press coverage and visibility for secured business when appropriate.
Maintain constant communication with STAT- maintain a contact database, schedule meetings, maintain meeting minutes and follow-up assignments, direct the setting of priorities for STAT.
Attend professional organization meetings and represent the CCCVB on industry boards and committees as availability permits.
Read, analyze, and interpret general business periodicals, industry and trade journals, or governmental regulations.
Special projects and other duties as assigned by the Executive Director.
Bachelor's degree from an accredited four-year college or university in Marketing, Sales or related field, or equivalent work experience
Relevant work experience in a sales environment and/or hospitality and tourism.
Local area and regional knowledge.
Knowledge of youth, adult and amateur sports markets; experience in sports development, working with governing bodies, sports organizations, sports commission, or other amateur athletic organizations.
Strong selling, presentation, written and verbal communication, multi-tasking, organizational and relationship-building skills.
Must be positive, persistent and professional.
Adept at Social media platforms for sales and marketing of events
Knowledge of and experience with Microsoft Office Software and other Sales or related software applications is preferred.
Must be willing to travel overnight and must be able to work a flexible schedule including evenings and weekends as required.
Must hold a valid Driver’s license.
Must be able to lift 35 pounds.
