Primary Purpose Responsible for providing oversight and management of the department’s day to day business operations, human resources and budget functions.
Essential Functions 1. Oversees department’s budget, ensuring University policies and best practices are followed. • Monitors and reconciles accounts and provides routine and ad hoc status reports as requested. • Provides analysis and recommendation on spending patterns. • Reviews all department monthly budgets and identifies issues to appropriate staff. • Reconciles all staff pro cards to ensure proper coding and usage, ensures submission in timely manner. • Prepares journal entries, check requests, budget transfers, independent contractor agreements, and employment authorizations. • Trains staff on appropriate financial practices or budget processes when necessary. • Serves as liaison between department, finance and other University units on financial issues. 2. Manages department’s personnel functions including employment authorizations, contract development and adherence, stipends, salary administration, the internal new hire process, and the performance review program. 3. Maintains confidential personnel records, and performs confidential administrative duties as requested or assigned. 4. Oversees general office operations to ensure efficiency and inventory as needed. • Develops or recommends office operation policies and procedures. • Manages copier contract, office supplies, duplicating requests, and mail room charges. • Serves as liaison with the OIT department for budget-related matters. 5. Oversees Athletic Merchandise program, and maintains inventory controls. 6. Manages, implements and enforces NCAA, Conference and University business practices and procedures. 7. Performs other related duties as assigned or requested.
Two years’ post-high school education Three (3) years’ experience performing budgetary and business operations functions.
• Bachelor’s degree in business or related field • Three (3) or more years’ experience performing budgetary and business operations functions. • Demonstrated knowledge of management principles and practices. • Working knowledge of NCAA, Conference and University policies and procedures. • Solid working knowledge of budget, human resources practices and office operations. • Demonstrated ability to set goals, manage time and assignments to meet expected business outcomes and deadlines. • Ability to interact positively and effectively with on and off campus partners, provide support, and adapt to changing priorities. • Strong ability to build collaborative relationships. • Working knowledge of MS Office software and database systems. • Excellent verbal and written communication skills. • Positive attitude, proven ability to work successfully with diverse populations and demonstrated commitment to promote and enhance diversity and inclusion
Physical Requirements: The physical demands described here are representative but not definitive of those that must be met by an employee to successfully perform the essential functions of this job. Duties require frequent sitting and repetitive motion while using computer keyboard and phone. Occasional walking, standing and simple grasping. Infrequent climbing stairs, walking across campus, stooping and reaching. Constant communication using both spoken and written means. May require lifting up to 25 lbs.
Work Environment/Work Week/Travel Work performed primarily in a standard office environment. Work performed during standard business hours, may require additional time to meet business needs or deadlines. May require minimal travel off campus for meetings or errands.
